Trent Hills Public Library is seeking a people-oriented individual to work at the Warkworth Branch as a Part-Time Branch Supervisor. The successful applicant will be responsible for the organization and planning of all library operations and services at the branch level, promoting a welcoming and inviting library environment in accordance with the policies, mission, vision, values, and strategic direction set forth by the Trent Hills Public Library Board.
Qualifications:
- Post-secondary diploma in Library and Information Technician program or related discipline; an equivalent combination of education, training and experience may be considered
- 2 years’ experience in a public library environment; supervisory experience an asset
- Strong customer service background and ability to train and supervise staff in service excellence
- Willingness to enroll in the Ontario Library Service EXCEL Certificate Program or other library-initiated professional development
- Demonstrated ability to work independently and collaboratively as a team
- Excellent presentation, oral and written communication skills
- Advanced computer proficiency, including familiarity with and adaptability to new technologies; knowledge of library software and applications/Integrated Library System are strongly recommended
- Exhibits the flexibility to accept change and the resilience to adapt with curiosity and enthusiasm
- Ability to function calmly and effectively during stressful situations; uses tact, discretion and respects confidentiality
- Able to work flexible hours, including evenings and weekends, at all library branches
- Minimum physical requirements: able to lift 30 pounds, bend, reach, and stretch
- Valid and satisfactory Vulnerable Sector Check
Duties and Responsibilities:
- Represents the Library with dignity, integrity, and a spirit of cooperation in all relationships with staff and the public
- Supervises the operations of the branch and its staff
- Ensures branch spaces are attractive, tidy and prepared to receive patrons
- Ensures the safe operation of library facilities e.g. opening and closing procedures, health & safety inspections, etc.
- Greets and assists library patrons in a manner that is welcoming and respectful, communicating empathetically and effectively to all demographics and user groups; assists new and returning patrons with readers’ advisory, technology support and the provision of information
- Inspires the highest standards of customer service, models expected behaviors and competencies, interprets and applies THPL policy and procedure
- Assumes responsibility for:
- circulation of all library materials
- development, maintenance and organization of the collection
- selection, acquisition and processing of new library materials
- management of overdues
- serials control
- collection promotion through branch displays
- processing interlibrary and interbranch loans (including receiving and preparing deliveries)
- Ensures library equipment and technology (e.g. ILS) is operational, troubleshoots and resolves problems as needed
- Acts as first point of contact to address equipment failure, facilities-related issues and emergencies; liaisons with building maintenance to ensure repair and maintenance of facilities
- Makes recommendations to the CEO regarding the hiring, promoting, and dismissing of branch staff
- Recruits, trains and supervises Library Assistants, Student Pages, and volunteers; oversees onboarding of new hires
- Conducts performance appraisals for branch staff
- Coordinates and schedules the work of staff, students and volunteers
- Acts as a liaison between staff and the CEO; relays policy, procedural and organizational updates, keeping staff well-informed and maintaining system-wide consistency
- Compliance with and effectively implementing all Library policies and procedures as well as relevant legislation, such as the Employment Standards Act and the Ontario Health and Safety Act
- Instructs the public on the use of print and electronic resources including the library catalogue, electronic resources, and library equipment and technology
- In consultation with the CEO, identifies patron and community needs to plan and provide library and cosponsored programs and outreach events to meet those needs
- Plans, coordinates and conducts programs
- Receives service-related complaints, concerns and questions, and responds in a timely and respectful manner when required
- Completes monthly administrative duties including cash reconciliation; compiles daily, monthly and annual statistics and reports
- Follows the financial guidelines of the library to ensure cost effectiveness of services and operations set out by the Board; monitors expenditures, specifically the materials account, to ensure targets are met
- Manages branch materials budget, revenues, fees and petty cash
- Brings forth policy and procedural concerns and ideas for change as necessary. Participates in system-wide trials of new service initiatives
- In collaboration with the CEO, liaises with Municipal staff and internal and external community stakeholders
- Provides circulation desk coverage as needed
- Contributes to and presents at staff meetings as appropriate and serves on committees as needed
- Other duties as assigned
Wage Rate: $ 31.74 per hour plus 4% vacation pay.
Hours of Work: Up to an average of 20 hours per week. Hours and location are subject to change at any time.
